Terms and Conditions of Reservation and Stay at Villa Alexandra

1. The Terms and Conditions define the reservation, rent and stay terms applicable in the Villa Alexandra facility (hereinafter referred to as the “facility”) and are an integral part of the agreement which is concluded by making a reservation and an earnest payment or paying the entire amount for the stay. By making the above-mentioned actions, the Guest (a natural person or a business entity using designated rooms of Villa Alexandra for a fee and a specified period of time) confirms that they have read and accept the Terms and Conditions.

2. The Terms and Conditions apply to all guests and their accompanying persons staying on the facility premises and are available in each room and on the website.

3. The preliminary reservation made by phone or email is confirmed if the Guest pays a fixed amount of the earnest payment (the equivalent of at least one day of the stay) or the entire amount due for the stay into the account number: mBank SA 69 1140 2004 0000 3802 8110 5214, kod BIC SWIFT BREXPLPWMBK within 12 hours from making the preliminary reservation. Failure to pay in the above period will result in the cancellation of the preliminary reservation.

4. By making a reservation, the Guest agrees to the processing of personal data for the purpose of the reservation process and fulfilling the compulsory registration under the provisions of the Act of 29 August 1997 on the Protection of Personal Data. The Guest has the right to inspect and update their personal data.

5.  In the case of an earnest payment, the remaining amount due for the stay, the Guest shall pay in cash on the day of arrival, at the time of checking in.

6. The Guest is obliged to pay the entire amount due for the stay on the day of arrival, even if the arrival or stay is delayed, or shortened for reasons independent of the facility. If the Guest shortens the period of their stay, the amount for the unused period is not refunded.

7. In the event of changing the reservation date by the Guest or a complete cancellation of the stay for reasons independent of the facility, the earnest payment is not refundable.

8. The hotel tax is included in the room price.                                                  

9. Only persons registered during the reservation may stay on the facility premises. In the case of the arrival of more people than declared when making the reservation, the facility reserves the right to terminate the contract immediately which involves the Guest and accompanying persons leaving the facility premises without the need to return the previously paid fee.                                                                                                                     

10. During making a reservation or on the day of arrival, a security deposit of PLN 300.00 may be charged as securing claims for damages. The security deposit is returned on the day of departure or up to 48 hours after departure by the bank transfer to the bank account indicated by the Guest, subject to point 26 of these Terms and Conditions.                                                                                           

11. Check-in/check-out time starts at 15:00 on the days of arrival and ends at 10:00 on the last day of the stay of the Guest. 

12. Extending the stay by the Guest without prior agreement with the staff is associated with an additional fee charged to the Guest in the amount of PLN 40.00 for each commenced, subsequent hour of the stay.

13. The Guest receives a room access card and an access code to the front door. The card and code are valid until 10:00 on the last day of the stay.

14. The Guest is obliged to keep the room access card with due diligence. In the event of its loss, the Guest will be charged with the costs of PLN 50.

15. The access code for the front door is assigned individually for each room and may only be shared with persons registered during the reservation. For the sake of own safety and that of other people staying in the facility, Guests are asked not to disclose the code to third parties.

16. At 10:00 on the day of departure, the code and the card are deactivated, which means that the facility entrance door and the room door cannot be opened after this time. The waiting time for the arrival of the facility service, in the event of emergency door opening, may be up to 3 hours and costs PLN 200.00. In this case, the travel expenses of the service staff are entirely borne by the Guest.

17. Pets are not allowed on the facility premises.

18. In the facility, smoking is prohibited, excluding the adequate balconies.

19. Due to the fire protection requirements, it is strictly prohibited to smoke in the building, it is also not allowed to use any electric or gas devices or apparatuses that do not constitute room equipment and may create a risk of fire, e.g. electric heaters, radiators, air conditioners, gas burners. It is prohibited to store dangerous goods in the rooms – flammable, explosive, illuminating materials, weapons and ammunition, as well as materials with an unpleasant smell.

20. Curfew in the facility lasts from 22:00 to 7:00.

21. The Guests are required to maintain cleanliness in the rooms and on the facility premises.

22. The Guests undertake to use the facility for residential purposes only – it is prohibited to organise events in the facility.

23. Children under 12 years of age should be under the constant supervision of legal guardians on the facility premises. Legal guardians assume full responsibility for any damage caused by children.

24. The Guest assumes full financial responsibility for any damage to the room or its equipment, common parts of the facility and around the facility caused by the Guest and/or accompanying persons.

25. The Guest shall report any deficiencies or defects in the room on the day of arrival at the facility. Failure to submit comments and objections associated with the technical condition on the day of arrival is tantamount to the fact that the room and its equipment were put into use in a condition that did not raise any comments or objections of the Guest.

26. In the event of damage, the facility is entitled to satisfy its claims for damage compensation from the collected security. If the value of the above-mentioned claims exceeds the value of the collected security, the Guest is obliged to pay the difference immediately.

27. The parking space is additionally payable and available only upon prior reservation.

28. The Guest, who has purchased a parking space on the facility premises, receives a remote control for the entrance gate and is obliged to store it with due diligence. In the event of its loss, the Guest will be charged with the costs of PLN 150.

29. The facility is not responsible for damage or loss of vehicles belonging to Guests and for property left on the facility premises (in the room, staircase, area around the building and parking space).

For the sake of own safety, the Guests are obliged to keep all windows and doors closed when they are not in the room.

30. The Guests are required to comply with these Terms and Conditions. The staff has the right and obligation to call the security or the police if the Guests behave in a way that violates the Terms and Conditions and/or disturbs other the Guests. In the event of a breach of any point of the Terms and Conditions, Guests undertake to leave the facility immediately upon request of the employees. In this case, it is not possible to claim a refund for the unused stay.

31. Any disputes between the parties will be settled amicably. The court competent for disputes is the court competent for the seat of the facility, and the applicable law is Polish law.
